Build a calendar around real access
List summer programs, staff access, deliveries and any buildings that remain occupied. Mark the work areas separately from the rest of the campus. Ask for a proposed sequence with its access assumptions so an apparent holiday window is not mistaken for unrestricted use of the whole site.
Identify surfaces before choosing methods
Separate pavement, painted play markings, glazing, doors and resilient play surfaces in the request. Provide product or maintenance records when available. A cleaning method appropriate for one surface should not automatically be specified for another. For specialized surfaces, confirm the manufacturer’s care instructions before selecting products or pressure.
Distinguish repainting from layout design
State whether existing markings are to be refreshed or new routes and spaces are proposed. Provide the approved drawing if there is one. Ontario’s public-space guidance addresses accessibility when spaces are created or substantially changed; a marking contractor’s scope should not be confused with approval of the complete site layout.
Define the handback information
For each work zone, agree who reviews completion and what information is needed before regular use resumes. Ask for the areas treated, products or components specified where relevant, and unresolved defects. This is more useful than an unsupported promise of full safety compliance or completion within a fixed number of weeks.
