Protect the patient route in the plan
Identify the route from parking or drop-off to reception, including the entrance patients normally use. Note appointment periods and areas where visitors may need assistance. Ask how proposed work would affect those routes and who would approve an alternative. A convenient contractor access point may not be a practical patient entrance.
Keep cleaning scopes distinct
Specify the exterior surfaces requested and whether any interior work is contemplated. Public Health Ontario provides dedicated environmental-cleaning guidance for healthcare settings. General exterior washing should not be described as infection-control treatment, disinfection or accreditation evidence without a properly defined and supported healthcare scope.
Describe door and glazing symptoms
Record whether a door fails to close, catches, opens inconsistently or has damaged hardware. Include available model information and photographs without patient details. For glazing, distinguish surface appearance from cracks, seals or replacement needs. The clinic’s authorized representative should confirm any operational restrictions before the scope is agreed.
Ask for relevant documentation
List the clinic’s site-entry, product-review and work-record requirements in the enquiry. Let its responsible personnel determine which requirements apply. Request a description of the work areas, proposed timing and unresolved items; avoid a blanket promise of full accessibility, infection-control compliance or a guaranteed emergency response.
