Create a maintenance request system that acknowledges receipt, provides estimated response time by severity category, and closes the loop when the work is done. Even simple email systems are better than no system.
Communicate proactively about planned maintenance work. Advance notice of parking lot work, exterior cleaning, and major system maintenance prevents the tenant frustration that comes from unexpected disruption.

Annual meetings with tenants to review the year's maintenance performance, discuss upcoming projects, and ask what could be done better creates goodwill and intelligence about emerging tenant priorities before they become renewal risk factors.
